Payslips

The Manage Payslips screen is the administrative hub for reviewing, generating, and distributing official pay statements to employees. This module ensures compliance and transparency in employee compensation.

  • Location: Access this module through the main menu path: Home \rightarrow Payroll \rightarrow Payslips.

  • Purpose: To manage a historical record of all processed payrolls, allowing for auditing and employee statement distribution.

  • Key Data: The list displays the Employee, the Start and End dates of the pay period, and the calculated Net Pay.


Filtering and Searching Payslips

The module provides robust filters to locate specific payroll runs:

  • Search Bar: Use the "Search payslips..." bar to find records by employee name or keywords.

  • Filter by Employee: Use the "All Employees" dropdown to view payslips for specific staff members.

  • Filter by Payroll Type: Use the "All Payroll Types" dropdown to filter by pay frequency (e.g., Monthly/Fixed).

  • Filter by Date Range: You can filter using three specific date fields:

    • Cutoff Date: The date used for calculating pay (e.g., the last day of the pay period).

    • Start Date and End Date: Defines the range of the pay period.


Step-by-Step: Processing and Distribution

Generating Payslips (Anticipated)

  1. Initiate Generation: Click the Plus Icon (+\text{+}) in the top right corner to initiate the process of generating new payslips for a period (implied action).

  1. Select Employee: Choose the specific employee whose timesheets you need to validate using the "Choose Employee" dropdown menu.

  1. Select Payroll Type: Select the relevant Payroll Type (e.g., Monthly/Fixed) from the dropdown menu.

  1. Define Date Range: Input the pay period being validated using the Start Date and End Date fields (in mm/dd/yyyy format).

  1. Review Summary: The system automatically loads a summary of the records within that range:

  • Total Records: The total number of timesheet entries found.

  • Total Hours Worked: The sum of all approved work hours.

  • Total Late: The sum of all time marked as late.

  • Total Overtime: The sum of all approved overtime hours.

  1. Audit Timesheet Records: The Timesheet Records section displays the detailed daily entries. You must review these records to ensure accuracy.

Reviewing and Downloading

  1. View Single Payslip: Use the download/view icon in the Actions column next to an individual payslip to view or save the PDF document (e.g., for Mark Ignacio's November pay).

  1. Bulk Download: Click the blue "Bulk Download" button to download multiple payslips based on the current filters and selections.
