Warnings

The Warnings screen is used by the HR Manager or Admin to formally issue, document, and manage all disciplinary actions, creating a legally defensible record of employee performance issues.

  • Location: Access this module through the main menu path: Home \rightarrow Employee Relations \rightarrow Warnings.

  • Purpose: To maintain an organized, historical record of disciplinary actions, which is crucial for performance management and termination decisions.

  • Key Data: The list displays who issued the warning (Warning By), the employee receiving it (Warning To), the nature of the issue (Subject), and the date it was issued (Warning Date).


Step-by-Step: Recording a New Warning

  1. Start the Request: Click the Plus Icon (+\text{+}) in the top right corner of the screen to open the warning creation form.

  1. Identify Parties (Implied Form Fields):

  • Select the supervisor or manager issuing the warning (Warning By).

  • Select the employee receiving the warning (Warning To) from the dropdown menu.

  1. Enter Details:

  • Input a concise Subject summarizing the disciplinary action (e.g., "First Written Warning - Attendance," "Verbal Reprimand - Conduct").

  • Record the official Warning Date.

  • Description (Implied): Provide a detailed description of the violation, previous coaching steps, necessary improvements, and consequences for future violations.

  1. Save: Click "Save" to formalize the disciplinary action and add it to the Warnings list.


3. Managing and Auditing Warnings

  • Searching: Use the "Search warnings..." bar to locate specific disciplinary records by employee name or subject.

  • Reviewing: Use the action button in the Actions column to view the full details of the warning, confirm acknowledgment by the employee (implied), and ensure all documentation is complete.

  • Audit Trail: The system provides a chronological record that supports progressive discipline policies and serves as a vital audit trail for HR.
